Before you start
Like a website, business email needs a domain in your portal first. If you have not added one, see Domains and DNS.
Create a mailbox
- Open Business Email and click Add Email Address.
- Pick a size. The plans are Essential, Business and Professional, and the only difference is how much mail the mailbox can hold. Each shows its monthly price. A mailbox mostly used for writing to people goes a long way on the smallest size; an address where customers send photos and attachments fills up faster.
- Choose the address and a password for the mailbox.
- Tick to agree to the monthly charge and our email policies. Nothing is charged on the day; the mailbox joins your next monthly payment.
A new mailbox takes a few minutes to become usable, and we email you its setup details when it is ready.
If we manage your DNS
The email records are added for you automatically. There is nothing else to do.
If you manage your own DNS
Your email will not work until you add its records yourself, wherever your domain's DNS is managed (usually at your registrar). The portal lists every record you need. Copy each one across exactly, then click Check My Records. When every record shows as found, your email is ready. Most changes show within minutes, but some take up to two days.
Look after a mailbox
Each mailbox in the list has tools to:
- see how much of its storage is used
- reset its password
- open it in webmail
Forwarders
A forwarder is an address with no inbox of its own: mail sent to it is passed straight to an address you already read. For example, quotes@ can forward to info@, so both land in one inbox.
- Forwarders are free and do not count as mailboxes.
- You can have up to twenty on a domain.
- Replies go out from the inbox you forwarded to, not from the forwarder address.
Catch-all
The catch-all decides what happens to mail sent to an address on your domain that does not exist, such as a typo. You can:
- bounce it, so the sender is told the address is wrong
- discard it silently
- send it to one of your mailboxes, so a mistyped message is never missed (the cost is that spam aimed at made up addresses lands there too)
Reading your email
Webmail in your browser
Every mailbox has a Webmail button, or go to webmail.rsawebdesign.co.za. Sign in with the full email address and its mailbox password.
On your phone or in Outlook
It is ordinary email underneath, so you can add it to Outlook, Apple Mail or the Gmail app. The settings are at the bottom of the Business Email page under Setting up your email client, and we email them to you when a new mailbox is ready.
Removing a mailbox
To stop a mailbox, use Remove Mailbox on your Subscription page. It keeps working until your next payment date, which gives you time to save any mail you want to keep, and you can cancel the removal before then. See Subscription and invoices.
